Information on data processing - Postdoc Survey

Duration of data storage
The personal data collected on Tivian's server will be deleted after each survey has been completed. Before that, the data will be backed up by project staff on servers at HHU. The JUNO team will then store the data for a maximum of three years before it is deleted.

Details of personal data processed and purposes of processing
As part of the survey, a small amount of your personal data will be processed (e.g. gender, faculty affiliation, length of postdoc time). These data are only used in anonymised form to analyse whether certain patterns and differences can be identified along factors such as gender, faculty affiliation or length of postdoc time.
When using the Tivian software, for example, the following (technical) data is collected, but it does not allow any personal reference:

  • Browserversion
  • Processing time
  • Time of starting the processing of the questionnaire
  • Time at which the questionnaire was completed

If you voluntarily agree to participate in the project, your survey data will be processed in the project. You can participate in the project as a test person if you are a postdoc at Heinrich Heine University.

Handling of data in the research project

The data is processed anonymously and does not allow any conclusions to be drawn about your person. The data is only made available to the project staff in anonymised form. Scientific publications are also made in such a way that it is no longer possible to draw conclusions about individuals. The data is published exclusively in anonymised and aggregated form. If, due to an "unfavourable" constellation of the group of people surveyed, individual people remain identifiable even in the anonymous data set, this data will not be included in the research results. All project staff are obliged to handle your personal data confidentially. The data will be processed on HHU IT systems and only the project staff will have access to the data.

Legal basis for processing

The collection of personal data for the implementation of the research project is based on the consent of the data subjects pursuant to Art. 6 para. 1 lit. a. DSGVO.
As a matter of principle, your personal data processed by HHU for the above-mentioned purposes will not be transferred to third parties. Only the survey data is collected via the servers of the service provider Tivian. The cooperation with this is based on a contract, as required by the DSGVO.
Please note that the data collected from you may also be processed in countries that do not have a level of data protection comparable to the European Union. This may also include the USA. Not having a level of data protection comparable to the EU may also mean that there is no assurance that the data will not be used for other purposes. In some circumstances, there may be a high risk to your rights and freedoms.
We reserve the right to amend this privacy notice to reflect any changes in relevant laws or regulations or to better meet your needs. This Privacy Notice is the most recent version published by the University.

Information on the rights of data subjects
As a data subject, you can assert the rights granted to you by the DGSVO at any time:

  • the right to information as to whether and which of your data is being processed.
  • the right to have data concerning you deleted, corrected or completed.
  • the right to request restriction of the processing of the data in accordance with the data protection laws.
  • the right to object to future processing of data concerning you.
  • the right to revoke consent given at any time.

Please note, however, that this does not affect the lawfulness of the processing carried out on the basis of the consent until the revocation.
